This Privacy Policy explains how Root AI Labs Private Limited ("Root AI Labs", "we", "us", "our") collects, uses, shares, retains, and protects information when you use the Contexta CRM mobile application and related services (the "Service"). Contexta is a WhatsApp-native customer-relationship-management tool for smart-home installers, field-service teams, and trade contractors.
Contexta is a multi-tenant business tool. When you use Contexta as part of a business (a "Workspace"), that business is the owner of the Workspace's data and decides who on its team may access it. Root AI Labs processes that data on the business's behalf and in line with this policy.
1. Who this policy is for
This policy applies to the people who use the Contexta CRM app: business owners and their staff or team members who sign in to manage customers, quotes, jobs, and conversations. It governs the data those users and their businesses put into, and generate through, the Service.
2. Information we collect
2.1 Information you provide
- Account and identity data — your name, phone number, and email address, used to create and secure your login.
- Authentication data — credentials used to sign in and keep your session secure.
- Workspace and business data — the records you create in the app: customers and leads, quotes and proposals, jobs, tickets, projects, and notes.
- Team data — for a Workspace owner, information about the staff or team members you invite, and the access level (permissions) you assign them.
- Conversation content — messages exchanged with your customers through the app's inbox, including WhatsApp-channel conversations you manage in Contexta.
2.2 Information generated through features
- Voice input — where you use voice-first features, audio you record is captured to convert speech to text.
- Images — photos or images you attach (for example, to a job or a conversation).
- Translations — text you choose to translate between supported languages.
2.3 Information collected automatically
- Usage and device data — basic technical information needed to operate the Service securely and reliably, such as app version, device type, and log/diagnostic data.
We do not collect your precise device location, your device contact list, financial account numbers, or payment-card numbers through the Contexta CRM app.
3. How we use information
- To provide and operate the Service — signing you in, showing your Workspace's data, and letting your team collaborate.
- To power the app's features — building and sending quotes, managing pipelines and jobs, and managing customer conversations.
- To provide voice, image, and translation features you choose to use, including converting speech to text and translating text.
- To keep the Service secure — enforcing per-Workspace data isolation and access permissions, and detecting and preventing abuse.
- To support you — responding to your requests and troubleshooting problems.
- To meet legal and regulatory obligations.
4. AI processing and third-party sub-processors
Contexta uses artificial-intelligence services to provide language and judgment features — for example, understanding voice input, drafting and summarising text, and translating between languages. To do this, relevant content (such as the text or audio you submit to an AI feature) is sent to specialist AI service providers that process it on our behalf and return a result.
These AI sub-processors are:
- Anthropic — language understanding, drafting, and summarisation
- OpenAI — language understanding, drafting, and summarisation
- Groq — language-model inference
- Sarvam — Indian-language speech and language processing
These providers process content only to return the requested result to us. We do not sell your personal data, and we do not share it with these providers for their own advertising.
5. How information is shared
- Within your Workspace — your Workspace's data is visible to members of that Workspace according to the access permissions its owner sets.
- With AI sub-processors — as described in Section 4, to provide the features you use.
- With infrastructure providers — we use trusted service providers to host and run the Service (for example, cloud database and hosting). They process data on our behalf under contract.
- For legal reasons — where required by law, regulation, legal process, or an enforceable governmental request.
- Business transfers — if Root AI Labs is involved in a merger, acquisition, or transfer of assets, data may be transferred as part of that transaction, subject to this policy.
We do not sell your personal data.
6. Data isolation and security
- Per-Workspace isolation. Each business's data is logically isolated. Your Workspace's customers, quotes, and conversations are not accessible to other businesses using Contexta.
- Encryption in transit. Data exchanged between the app and our servers is encrypted in transit.
- Access control. Access to a Workspace's data is governed by the roles and permissions its owner assigns.
No method of transmission or storage is completely secure, but we work to protect your information using appropriate technical and organisational measures.
7. Data retention and account deletion
We keep your information for as long as your account is active and as needed to provide the Service, and thereafter as required to meet legal, accounting, or reporting obligations.
You can delete your account
You can request deletion of your account at any time:
- In the app: open the menu (⋮ / More) → Delete my account, then confirm by typing DELETE.
- On the web: visit our data-deletion page.
When you request deletion:
- Your account is deactivated immediately and you are signed out on all devices.
- Deletion is reversible for 30 days — you can log back in within that window and choose "Cancel & restore" to reactivate your account.
- After 30 days, your login and personal records are permanently deleted.
- Your team membership is anonymised.
- Business records stay with the business. Records you created as part of a Workspace — tickets, quotes, and projects — remain with that business and are re-attributed to "Former staff", so the business retains its own history.
8. Your rights
Depending on where you live, you may have rights over your personal data, including to access, correct, or delete it, and to withdraw consent. Because Root AI Labs is an Indian company, your rights under India's Digital Personal Data Protection Act, 2023 apply where relevant. To exercise any of these rights, contact us using the details in Section 12.
9. Children
Contexta is a business tool intended for users aged 18 and over. It is not directed at children, and we do not knowingly collect personal data from anyone under 18. If you believe a child has provided us personal data, contact us and we will delete it.
10. International processing
Some of our service providers and AI sub-processors may process data outside India. Where this happens, we take steps to ensure your information continues to be protected in line with this policy and applicable law.
11. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you in the app.
